The service
What is Instamart Account Management?
Instamart account management is the ongoing operation of a brand's account on Swiggy Instamart after go-live: keeping SKUs in stock across dark stores, forecasting and coordinating purchase orders, maintaining catalogue content, planning pricing and promotions, running Instamart ads, monitoring ratings and reconciling settlements against what was supplied. Instamart demand spikes around meals, evenings, weekends and cricket and festival days, so availability planning has to account for those peaks rather than a flat weekly average.
At gaa-tha a named account manager owns the Instamart account. We track availability and fill rate by city and dark store, keep the PO cycle moving with your warehouse ahead of peak days, plan promotions around Swiggy's sale events and festive periods, and run ads only for SKUs and cities with stock to sell. The month ends with a review that puts sales, availability, ads, ratings and reconciled settlements side by side.

Process
How we work
Five steps, in the order they happen.
Audit and baseline
We review listings, availability by city, PO history, ad performance and settlements, then agree the numbers the account is run against.
Availability and PO rhythm
A weekly availability check and a PO forecast are set up with your warehouse, timed ahead of weekends, match days and festivals.
Content and pricing
Thumbnails, titles and attributes are fixed, pricing checked against margin, and a promotion calendar aligned to Swiggy's events.
Ads and visibility
Instamart ad campaigns are structured by SKU and city, run only where stock supports them, and optimised weekly against ROAS.
Reconcile and review
Settlements are matched to POs and receipts, disputes raised, and a monthly review brings every number into one report.

Questions about Instamart management
Answer-first, so humans and AI assistants get the point quickly.
We check availability at dark-store level every week, flag SKUs that are out of stock or low in any city, and measure fill rate as quantity received against quantity ordered on each PO. Because Instamart demand peaks on evenings, weekends and event days, we forecast against those peaks rather than a flat average, and fix fill rate at your warehouse with packaging and dispatch discipline.
Swiggy raises POs to its city warehouses based on demand and stock on hand, and the brand dispatches within the PO window. We forecast expected POs from sell-through, chase late ones, coordinate quantities and packaging with your team, track dispatch and receipt, and log short receipts or rejections for dispute.
Yes. Titles with pack size, thumbnails, secondary images, attributes and descriptions are kept current, combos and new pack variants added, and listings rechecked after Instamart template changes. Thumbnails are produced in-house to stand out in a fast scroll.
To margin first. We model the discount, Swiggy's share and the expected uplift before committing to a sale event, festive campaign or basket-builder offer, and keep pricing aligned across Blinkit, Zepto and your own store so no channel undercuts another.
Yes. Instamart offers sponsored listings on search and category pages and banner placements, and we run them by SKU and city against a target ROAS, weighted towards the hours and days when your category sells. Ads are paused in any city where the SKU is out of stock.
Ratings and feedback are monitored weekly, product complaints separated from packaging and delivery issues, and each routed to the right owner. Recurring themes are reported monthly so pack, label or formulation changes can be made before they hurt sell-through.
Matching Swiggy's settlements to POs, goods receipt notes, short receipts, damages, returns, debit notes and ad or marketing invoices. Discrepancies are raised within the dispute window and tracked to closure so your books reflect what was actually supplied and sold.
Sales and units by city and SKU, availability and fill rate, PO status, catalogue changes, promotions and their margin impact, ad spend and ROAS, ratings trends and the reconciliation summary, followed by decisions on SKUs, cities and budget for the next month.
